Start with the questions you receive every day

A chatbot is useful when it helps solve a specific need. For a small business in Mexico, it can begin with opening hours, coverage, services and quotation steps. Review real conversations and group the questions your team answers repeatedly before designing the flow.

Distinguish stable answers from changing information. A shop address can come from a reviewed knowledge base; machine availability requires a current source. If the system cannot access that information, it should request human confirmation rather than invent an answer.

Collect what is needed for a quotation

Imagine an installation service covering Guadalajara. A short journey can ask for the work type, municipality and need. The salesperson then receives a request ready to review. There is no need to collect every personal detail before establishing whether the business can help.

Explain why each detail is requested and avoid an endless questionnaire inside the chat. Allow people to correct an answer or leave the journey to speak with someone. The value lies in reducing repetition rather than forcing customers through an interview they do not understand.

Explain when a price needs confirmation

If displaying prices, identify them as MXN and use an approved business source. An indicative price should be labelled accordingly and explain what is needed for confirmation. The bot should not negotiate discounts or promise an installation that has not been assessed.

Define what happens with out-of-area requests, site visits and special work. A useful answer can explain the next step and review hours. A clear expectation is preferable to a quick number that the team must correct later.

Hand over the conversation with its context

When an enquiry needs a person, the team should receive the product or service, location, details provided and reason for handover. This avoids asking the customer to repeat everything. The owner needs to know what the bot promised and what still requires confirmation.

Provide a visible human support option and explain when it is available. Outside opening hours, the system can record the request and communicate the schedule. An automatic reply does not mean a person is attending throughout the day.

Choose channels and connections around the scope

WhatsApp Business and an integration through WhatsApp Business Platform should not be budgeted as identical projects. Review the actual need: straightforward replies, multiple agents, a CRM connection or an external information source. The solution depends on available access and tools.

Messages must respect permissions and current channel conditions. Before launching a sequence, confirm what communications the person expects and how to stop them. Assign a business owner for changes to prices, content and responsibilities.

Check whether service actually becomes easier

Review how many requests arrive complete, which questions the system does not understand and where people ask for help. Read test conversations with the team before expanding the flow. A faster response has little value if it does not resolve the question.

Start with a service and coverage you can review, then add questions using verified information. A maintained chatbot can help the team devote more attention to complex quotations and buying decisions while customers find essential information sooner.
